Code of Conduct

The information contained in this Charity’s Code of Conduct is presented for the benefit of all members of Casilleras Charity Organisation UK (CCOUK). The intention is to furnish as much information as possible concerning:

  1. What CCOUK expects from its members.
  2. What Benefits members can expect from CCOUK.

It is the member’s responsibility to familiarize themselves with all the rules and regulations contained within this Code of Conduct. Including all amendments, revisions and or supplements, which may be published from time to time.

VISION.

A domain free from, stresses, poverty and distresses for everyone. Where CCOUK aims to be recognized as the leading Charity Group within the UK. Establishing dynamic and socially centered which solidly contribute to the community.

Mission.

  • To provide a nurturing environment in the development and empowerment for members within CCOUK.
  • To strengthen bonds for the benefit of vulnerable individuals, families and or groups within the community.
  • To encourage community participation through sports and social activities.
  • To eradicate poverty, distress and sickness. By promoting healthier lifestyles and reducing vices. Paying particular attention to individuals with disabilities.
  • To maintain the Charity Groups vision to deliver superior results to members and others.
  • To deliver long-term growth within the community.
  • To be responsible both to and for CCOUK members.
  • To ensure that CCOUK will promote customs and traditions within the community,
  • To maintain and extend assistance to:
  • Members of CCOUK.
  • Vulnerable people within the community.
  1. Introduction.

The purpose of this code is to help Casilleras Charity Group UK to establish a more efficient, reliable service, which we offer for the benefit of, vulnerable individuals, families and or groups, here in the UK. This code also summaries how CCOUK will perform in accordance of our policies. Including the laws, regulations and ethical charity standards. By faithful adherence to this code, all members ensure all Charity activities and decisions are consistent, with point I. and II.

      II.             Scope.

This Code of Conduct also provides ethical guidelines and expectations whilst conducting charitable works on behalf of Casilleras Charity Organisation UK (CCOUK). This code applies to all, trustees, officers, members and advisers. Including Sponsors, supporters and any person acting as an agent for or on behalf of CCOUK. Which may have an impact either directly or indirectly on CCOUKs reputation. For this reason you are expected to carry out your business in a legal and ethical way. In adhering to the spirit of this code, as well as any applicable obligations. In some instances Code of Conduct are not applicable to Sponsors, supporters and advisers.

No written policy can defiantly prescribe an appropriate action for each situation. However this code seeks to define the minimum standards, which must be adhered to in all professional dealings and relationships.

      III.            Implementing guidelines.

Any and all reported offenses shall be dealt with in accordance with the established disciplinary Management Procedures.

CCOUK will take appropriate disciplinary action against trustees, officers, members, advisers and other related persons. These actions may include immediate suspension or termination from CCOUK. Also disengaging with relationships, of external parties in accordance of this Code of Conduct.

CCOUK reserves the right to periodically review, amend and update this Code of Conduct. Either add or delete supplements. Any amendments, revisions and supplements to the Code of Conduct shall be incorporated herein by way of reference.

 IV.                 CCOUK Members Benefits.

Once membership has been accepted members can expect:

  • Registration with POLA OWWA *
  • Up to £200 financial assistance with the sad passing of an immediate family member. IE Mother, father, husband, son or daughter. *
  • Financial loan in case of an emergency. * (Repayment terms to be arranged)
  • CCOUK identification card.
  • Training development. (E.g. Financial literacy handled by financial educators).
  • Group Insurance

Benefits marked with an * are dependent on financial position of CCOUK.

Fees due.

  • £100.00 registration fee for new members for 12 months.
  • £10.00 renewable fee for members therefor after.
  •  OWWA fee valid for 24 months.

Rules and Regulations.

  1. Attendance
  1. Officers are expected to arrive 1 hour prior to booked events or meetings, to assist in setting up.
  2. Members are expected to arrive 20 minutes prior to a booked event. Including meetings.
  3. All officers and members are expected to attend scheduled CCOUK meetings.  At least 20 minutes prior to start time of meeting.

The success and efficiency of CCOUK depends entirely on the direct involvement from both officers and members supporting every event. If you are unable to attend an event or meeting, please use either Officers or Members Group Chat, to advise at your earliest opportunity that you are unable to attend an event or meeting. This way, events or meetings can still proceed at published start times.

Disciplinary action may be taken against officers or members for non-compliance.

  • Dress Codes.

Officers and Members are required to wear appropriate dress code in accordance of each event.

  • Charity’s ID.

Members will be provided by CCOUK with an Identification Card. Which you are expected to wear during certain events.

Once resignation from CCOUK has been accepted. Identification Cards MUST BE returned.

  • Health and Safety.

CCOUK along with members must take all reasonable precautions to ensure that the event site is safe to hold such event.

Alcohol consumption may not be permitted at certain events.

Illegal drugs are not permitted at any event.

You are liable for disciplinary action for none compliance of the above.

  • Harassment and Bullying.

CCOUK wants to provide a harassment free environment for its members. Mutual respect, along with the cooperation and understanding, must be the basis of interaction within the organization. CCOUK will neither tolerate nor condone behavior that is likely to undermine the dignity, or self esteem of an individual. Or create an intimidating, hostile or offensive environment. Thus all forms of harassment and or bullying with co members are expressly prohibited. Whether preformed within or outside CCOUK premises. Members shall be subjected to disciplinary proceedings. This includes harassment or bullying on Social Media or the World Wide Web whether oral or written.

There are several forms of harassments or bullying, but all can be defined as. “Any unwanted actions by any person, on a single or repeated basis. Which humiliates, insults, degrades, intimidates, offends, threatens, instill fear, embarrass, to an individual or to a group of people. Bullying may be committed directly or indirectly, verbally or physically, or through the use of social Media, online or via digital medium.

  • Verbal Bullying:

Slandering, ridiculing pr maligning a person or his or family; Repetitive name calling or insult that is or may have the effect of being vexatious, hurtful, insulting or humiliating to the extended victim or targeted person;

Using a person as a butt of a joke;

Abusive and offensive remarks regardless of weather such remarks have sexual meaning or implication.

  • Physical Bullying:

Pushing, shoving, kicking, poking, tripping, assault or threat of physical assault, damage to a person.

  • Gesture Bullying:

Non-verbal gestures. E.g. a glance or stare that may convey an underlying threatening message.

  • Exclusion:

Stopping a person or group from participating in a community activity. By either socially or physically means. Either by you, or somebody else, acting on your behalf.

  • Sexual Harassment:

Under this code, Sexual harassment is defined as any unwanted attention of a sexual nature. Examples include but are not limited to:

  •  Oral remarks E.g. about either your appearance and or personal life.
  • Written remarks E.g. Degrading, demoralizing or to cause distress.
  • Physical Contact: E.g. When touching someone else who does not want to be touched.
  • Acts of lasciviousness or sexual demands.

All reported cases of sexual harassment shall be covered, handled and interpreted in accordance with the anti-sexual harassment governing law in the UK.

Disciplinary action will take place in such cases.

6. Confidentiality

From time to time officers / members may come into contact with confidential information. Including but not limited to information about Casilleras Charity Organisation UKs plans and events. Officers / members are required to keep any and all matters that may have been disclosed to them or learned by them as STRICTLY CONFIDENTIAL.

Likewise all officers / members are fully expected to keep to themselves any and all information which may of come into their possession in the course their membership with CCOUK as STRICTLY CONFIDENTIAL.

Unauthorised reproduction, dissemination or disclosure of any such information shall be considered as a breach of trust of CCOUK and shall be actionable pursuant to this code.

The confidentiality provision in this code remains in full force and effect. Even after the termination of member’s membership.

  • CCOUK Property and Events Place

All officers / members are required to exercise due care and diligence of at all times with CCOUKs equipment, props and others after every event. Officers / members must follow all rules and regulations of each events venue.

  • Property of Third Person

Stealing and all acts of dishonesty committed within CCOUK are prohibited. Any officer or member who loses personal effects or finds any article not belonging to them should immediately report loss or discovery to the Charity Group.

  • Events Ticket Sales

CCOUK shall print tickets for sale to the public to raise funds. All officers and members will then be given a number of tickets to sell prior to each event. Two weeks prior to a taking place, all officers and members are to report to the Treasurer or Assistant treasurer stating how many tickets have been sold. How many tickets are expected to be sold. The Treasurer or Assistant treasurer can then perform a summery and reconciliation to the master sheet.

Deadlines for submissions of sold and unsold tickets may come into effect from time to time.

All unsold tickets not returned by a specified deadline of submission will be considered as sold. The ticket price will be charged to the officer or member who did not return said unsold tickets.

  1. Cessation or Termination of membership

Any individual who leaves CCOUK is required to give written notice of at least thirty, (30) days prior to leaving date.

Trustees, board members and officers MUST clear all their accountabilities and other obligations to CCOUK prior to leaving date. A full clearance handover MUST also take place from the out going person to the incoming person, prior to the final leaving date. This is so that minimum disruption is caused to the day to day running of CCOUK.

All property including but not limited to, equipment, keys, records whether written by hand or electronically, data, computer software, memorandum etc. Must be forthcoming so a full clearance handover can take place. Funds from sold tickets with details of who bought them, plus all unsold tickets must be returned to the Treasurer or Assistant Treasurer.

After clearance has taken place an exit interview with the charity management shall take place. During which time the individual are to sign a release waiver and quitclaim in favor of CCOUK.

All new members are on a probation period of 6 months.  

Other Policies

From time to time any other rules and regulations may be published or promulgated by the Charity Groups management. Including amendments, revisions, supplements which will then form part of this code by way of reference.

Types of Offences

  1. Offenses Against a person
  2. Provoking or instigating a quarrel and or fight within the Charity Group.
  3. Threatening, intimidating, coercing or harassment of anybody within the Charity Group.
  4. Inflicting less physical injuries.
  5. Inflicting serious injuries.
  6. Endangering people’s safety trough negligence.
  7. Causing physical injuries through carelessness or negligence.
  • Offences Against Property
  • Misappropriation of Charity funds.
  • Willful destruction of Charity Groups property.
  • Damaging Charity Groups property through negligence or recklessness.
  • Negligent or improper use of property and or equipment.
  • Possession of Charity Groups property and or equipment without authority or valid reason for processing it.
  • Fraudulent Acts
  • Forgery or attempting forgery.
  • Falsifying Charity’s records, reports, receipts, papers or other documents.
  • Falsifying signatures, using another’s name or submitting false statements in applying for other purposes.
  • Unauthorised discloser of information, trade secrets and unauthorised access to information and or data.
  • Unauthorised solicitation in any form such as request for assistance, receiving contributions or donations either in the form of cash or gifts.
  • Breach or abuse of trust reposed by the Charity or duly authorized representative, which may result in personal gain to the detriment of the Charity.
  • Willful failure to report a clear violation of polices, Standard Operating Procedures or processes established by the Charity.
  • Covering up a clear violation of polices, Standard Operating Procedures or processes established by the Charity.
  • Planting or tampering with evidence in any way shape or form. In order to move the blame from themselves to others.
  • Offences Against Public Morals
  • Using indecent, abusive, derogatory, degrading or indecorous words weather verbal or written in communications to officers, members, supporters, sponsors or third parties.
  • Circulating false or malicious information tending to malign or besmirch the good name of CCOUK including officers and members. Making false statements, spreading or disseminating misleading information against any member of the charity, trustees, sponsors, supporters which may harm the reputation and authority of those concerned or that of the company, weather such statements are done orally, in print, electronically, online or in other digital formats.
  • Taking part in or promoting any gambling or any other game of chance or unauthorised within the group.
  • Committing immoral indecent acts. Or willful indecent exposure inside the Charity Groups activities.
  • Using profane or obscene language in addressing another person within the Charity Group.
  • Engaging in an illicit relationship with a co member under scandalous circumstances, which may affect work performance. Scandalous acts or acts of immorality with co members within or in any of the charities events.
  • Offences Against Security

Other Offences

All other offences not listed in these rules and regulations shall likewise be penalised in a manner and to the extent that the Charity Group shall deem to be just and appropriate according to the circumstances of each case. Officers who willfully condone offences committed by their members will be subject to the same penalties as the offender would deserve.

    The Disciplinary Procedure

The administration of discipline is a line function and all management of the Charity Group are primarily responsible for the behavior of their members. Therefore, it is their duty to decide and impose appropriate disciplinary action whenever necessary within the limits of their authority as follows;

Offences punishable by a penalty are, Verbal warning. Written warning. Suspension of membership. Termination of membership. The Charity’s management shall at all times keep written reports of all actions taken for recording purposes.

Upon receipt of a written complaint or report of an alleged violation, the Charity Group’s management shall investigate and review the facts of the case. The member is given an opportunity to be heard by the management.

The member must be served with a notice to explain in writing within seven (7) days upon receipt of the same. The notice to explain shall identify the alleged violation in detail and signed by the member. Failure of the member to answer in writing within the prescribed period shall be constructed as a wavier of their answer / explanation.

Thereafter, the Charity Group’s management shall evaluate the facts of the case. Then prepare a written report of their findings. Including a recommended course of action, which shall be imposed.

The member shall then be notified in writing of the findings of the disciplinary action and the corresponding penalty of the case.

If a member commits three (3) infractions, within a twelve (12) months period, from the date of the first offence. The penalty next higher in degree than that prescribed shall be imposed on the subsequent offences.

Suspension of membership carries the loss of all the benefits and privileges from the Charity Group.

Termination of membership shall deemed cancellation of all benefits from the Charity Group.

If in any case a member owes the Charity Group upon termination of membership in a course of offence committed shall be deemed payable or in demand from the member.

Types of Disciplinary Action / Penalties

1.   Verbal Reprimand: normally issued for a first time offence for petty violation.

2.   Written Reprimand: normally issued to an offender who has previously received a Verbal reprimand for petty violation.  Or issued for an offence deemed more serious offence.

3.   Suspension of 3 months membership. Normally awarded for more serious offences.

4.   Termination of membership. This is given to a member for commission of an extremely serious violation. Including repeated infraction of the offenses defined under the rules and regulations of the Charity Group.

PRIVATE DISAGREEMENTS, CONTROVERSIES, CIVIL OR CRIMINAL CASES BETWEEN MEMBERS

The Charity Group will not intervene in any disagreements, controversies of court cases (civil or criminal) between members that are personal or private in nature. However, in cases such as private disagreements, controversy or court action causes animosity between the member, affecting the peace and order within the Charity Group or affecting the efficiency of fulfilling duties and responsibilities of any offices/members, the Charity Group management will adopt and put in effect such measures as maybe necessary to remedy the situation. Including suspension of the erring member as circumstances or the nature of the case may require.

Administration and Amendment

Charity Group Management shall periodically review these rules and thus reserve the right to amend, alter, modify or change these rules as the exigencies of the time or circumstances may warrant.

Every member shall be furnished with a copy of these rules and any of its amendments and must acknowledge receipt of the same in writing.

Effectively

These rules shall supersede all other rules and regulations previously promulgated for CASILLERAS CHARITY ORGANISATION UK members. These rules shall take effect after is has been widely circulated to all members
